Personal Assistant to CEO
As Personal Assistant to the CEO, this role provides high-level executive and personal support within a fast-paced creative environment. It requires exceptional organisation, initiative and resourcefulness, with the ability to operate seamlessly across business and personal spheres ensuring the CEO’s time, travel and communications are managed with precision and discretion.
Key Responsibilities
Executive Support
Full management of the CEO’s complex and frequently changing diary across multiple time zones.
Acting as the main liaison between the CEO, senior leadership and external partners to streamline communication and ensure alignment across all priorities.
Overseeing and streamlining the CEO’s inbox - triaging emails, flagging priorities, and maintaining clear communication flow.
Preparing briefing notes, research and follow-up communications for high-level meetings and client sessions.
Managing confidential correspondence, NDAs and sensitive documents with absolute discretion.
Operational & Strategic Coordination
Partnering with internal departments and external Stakeholders (Production, Operations, Finance, Partnerships, Creative) to coordinate meetings, projects and deliverables.
Supporting strategic planning sessions, off-sites and executive meetings - including agenda design, logistics, and action tracking.
Managing ad hoc projects and initiatives on behalf of the CEO, often involving multiple teams and tight deadlines.
Travel & Events
Planning and managing extensive international travel itineraries (US, Europe, Asia), including flights, accommodation, transport and on-the-ground logistics.
Supporting the CEO’s participation at key industry events, panels, and award shows (e.g. Cannes Lions, YouTube Festival, Adobe MAX), ensuring seamless coordination with hosts, PR, and production partners.
Occasionally providing real-time remote support during travel to manage last-minute changes and communications.
Personal Support
Providing personal assistance across professional and private matters, including diary coordination and ad hoc requests.
Liaising with external contacts such as management, family and other stakeholders to ensure smooth day-to-day operations.
Skills & Attributes
Highly organised, proactive, and resourceful with exceptional attention to detail.
Skilled in managing and prioritising multiple moving parts in a fast-paced environment.
Excellent at using initiative and anticipating needs before they arise.
Calm under pressure, adaptable, and solution-oriented.
Strong interpersonal and written communication skills.
Trusted to handle confidential information with professionalism and sensitivity.
Highly skilled in prioritisation and reprioritisation as circumstances evolve.
Confident with Google Workspace, Notion, and modern productivity/AI tools.
Interest in digital media, production, and entertainment is a plus.
Driving license required
Experience in a small company / start up desired
